FleetGO Platform Quick Start Guide

Welcome to FleetGO, your complete solution for all elements that belong to fleet management. This Quick Start Guide will help you get familiar with the FleetGO Platform, from logging in and viewing trips to analysing tachograph data and managing your fleet. Follow the steps below to quickly get started and use the platform efficiently.

1. Logging In

To access the FleetGO Platform, go to the login page and enter your credentials. Once logged in, you’ll be taken to the Trips Overview page by default — this is where you can immediately see your most recent trips.

If you prefer to focus on compliance data, you can easily change your default start page to the Tachograph Analysis Cockpit. This will let you see your tachograph status and infringements right away when you sign in.

To change your start-up page:

  • Click your name in the top-right corner.
  • Go to User Settings → Startup Page → Tachograph – Analysis Cockpit → Save

2. Main Menu Navigation

You’ll find the main menu on the left side of your screen. This menu is your primary navigation tool and gives you access to all key sections, such as Trips, Map, Management, Tachograph, and Reports.

Click any tab to open that section. You can also hover over menu icons to see tooltips or collapse the menu to create more workspace. Once you start exploring, you’ll notice that most pages share a similar layout: a filter section at the top, a list or table view in the middle, and detailed information on the right or in a pop-up when you click an item.

3. Production (Trips)

The Trips section displays all trips driven by your vehicles. It’s a great place to review routes, driving times and mileage for your entire fleet.

  • Click on a specific trip to open detailed information, including timestamps, distances, and start/stop locations.
  • You can correct or adjust trip data, for example, if a trip was incorrectly marked as Private or Business.
  • To make a correction, select the trip, click Edit, make your changes, and then click Save.

Tip: Use the filters above the trip list to quickly search by driver, vehicle, or time period.

4. Map (Tracking)

The Map gives you a real-time view of your vehicles’ locations and statuses. It’s ideal for tracking activity or checking whether vehicles are currently moving or parked.

  • Grey icons indicate vehicles that are turned off.
  • Blue icons show vehicles that are moving , these update automatically.

By clicking a vehicle on the map, you can see additional details such as the vehicle name, driver, and last position update.

The below view is especially useful for quick operational checks or monitoring your fleet’s movements throughout the day.

5. Management

In the Management section, you’ll find all administrative data related to your fleet. This includes your registered vehicles, trailers, and any other connected assets. Each administration entry also shows which FleetGO device is linked to that vehicle.

Clicking on a specific entry opens detailed information, such as installation date, configuration, or device connection status.

This section also serves as the foundation for managing users and employees, so it’s worth getting familiar with early on.

Users & Employees

Managing users and employees in FleetGO is straightforward and ensures everyone has the correct access and role.

Creating Users

Path in FleetGO: Management → Users → New

  • Click New, select Employee, assign a Role (such as Admin, Manager, or Driver), and click Save.

Path in FleetGO: Management → Employees → New

  • Fill in the employee’s Surname, First Name, and Email Address, then click Save.

Note: When a driver inserts a driver card for the first time, FleetGO automatically creates a new employee profile, saving you time on manual setup.

Notifications

Path in FleetGO: Notifications → Subscriptions

FleetGO can send automatic notifications via email, mobile push notifications and alerts in the FleetGO portal itself keeping you up to date without having to check the portal constantly.

You can configure which notifications you receive and how frequently they’re sent. For example, you might want alerts for tachograph downloads, missing driver data, or potential infringements.

These automated messages help ensure you never miss important updates that could affect compliance or operations.

6. Tachograph

FleetGO’s Tachograph module helps you stay compliant by managing and analysing driver and vehicle data efficiently.

Remote Download

To enable remote tachograph downloads, your company card must be stored securely on the FleetGO server. Once set up, vehicle and driver card data (.DDD files) are downloaded automatically.

  • View all downloaded driver and vehicle card files under Tachograph → Common → Files.
  • Upload older .DDD files manually if needed by clicking Upload in the same section.

Review and adjust the automatic download intervals for each vehicle in the Download Cockpit.

Check the Remaining Driving Time for each driver.

View Vehicle Download Status Overview and Employee Download Status Overview to see upcoming download schedules.

If you need to manually request a download, go to Tachograph → Download Commands → New, select the driver or administration, choose a time period, and click Save.

Data Analysis Cockpit

The Data Analysis Cockpit provides a clear, color-coded overview of your compliance and tachograph data , perfect for monitoring driving hours and identifying infringements at a glance.

We recommend setting this as your default login page so you always start with an overview of your fleet’s compliance status.

Colour Codes:

  • Green – Everything is OK.
  • Orange – Attention required soon
  • Red – Immediate action required

From here, you can open detailed views showing infringements, missing mileage, driver completeness, and activity summaries.

You can also mark items as Processed once reviewed, add notes, or print Driver Infringement Letters directly from the portal.

Additional options include viewing average working hours (WTD) and adding new manual entries in their driver activities such as for Annual / Sick leave.

7. Reports

Path in FleetGO: Reports → Report Cockpit

The Reports module allows you to generate detailed reports for compliance, trip summaries, working hours, and more. Reports can be downloaded in multiple formats or scheduled to run automatically and be sent via email at regular intervals, helping you keep track of performance and compliance effortlessly.

Note: The most important Tachograph reports can be found in the Tachograph section and not in the Reports.

8. Vehicle Inspection (Optional)

If your account includes this module, you can create digital inspection sheets directly in the web portal and complete them using the FleetGO Vehicle Inspection App.

Path in FleetGO to create an inspection sheet: Vehicle Inspection → Settings → Customer vehicle inspection sheets → New

Once inspections are finished, all results automatically appear in the Vehicle Inspections Overview tab, giving you a full overview of your fleet’s inspection history and any reported issues.
