This article explains the Missing Mileage overview, which is part of the FleetGO Tachograph Analysis feature.

What is Missing mileage?

Missing mileage refers to unaccounted distance or time on a tachograph recording. It occurs when there are gaps or disrepancies in the recorded data, often due to improper recording by a driver. Addressing missing mileage promply is crucial to ensure accurate record keeping and compliance with regulations. FleetGO offers a Missing Mileage Overview (part of the FleetGO Tacho Analysis module), making it easy for fleet managers to identify when drivers haven't properly used their cards. This feature streamlines monitoring and helps maintain compliance effortlessly.

Where can the Missing mileage overview be found?

1. Navigate to Tachograph and click on Data Analysis
2. Select Missing Mileage overview

Missing mileage cockpit

When you first click on the missing mileage overview, your eyes are immediately drawn to the three tabs, which you can think of as your missing mileage cockpit.
The missing mileage cockpit works like a traffic light system, though it doesn't use the colour red. If there is no missing mileage to deal with or you have already resolved previous incidents, it should look like this:

However, if there are open incidents where drivers have driven without their driver's cards, the cockpit will highlight this for you by changing the colour to orange:

There are three possible statuses in the missing mileage cockpit:

  • No driven miles
    This refers to moments where the driver's card is not used in the tachograph despite not actually driving any miles, such as when a vehicle is idling for a certain period.

  • With driven miles
    This refers to moments where the driver's card is not used in the tachograph, but there are recorded miles driven.

  • Out of scope used
    This refers to moments where the driver's card is not used in the tachograph while the vehicle is in the out of scope status. The out of scope function is only meant for vehicles or situations that are not subject to the tachograph obligation.

In order to provide a clearer understanding of how to interpret the missing mileage overview, an example is displayed below:

Explanation of all columns:

  • Find out the vehicle registration for which the missing mileage happened

  • If your FleetGO system has groups set up, it will specify which group the vehicle belongs to.

  • The "Start date" and "Start time" columns indicate when the missing mileage incident began.

  • The "End date" and "End time" columns indicate when it the missing mileage ended.

  • For clearer understanding of missing mileage incidents you can view the exact trip details when using the Tacho Analysis in combination with FleetGO hardware.
  • If the out of scope mode on the tachograph was used, this will be indicated in this column.
  • The total driving time without drivers card in.
  • The total distance driven without drivers card in.
  • If you have provided a reason for the missing mileage, it will be displayed in this column and included in the missing mileage report.
  • The status of the missing mileage will be highlighted in this column. "Active" means outstanding missing mileage, and the status will change to "processed" once addressed within the FleetGO platform.

 

Dealing with missing mileage

To maintain clarity in the missing mileage overview, it's a good idea to process the incidents in FleetGO once you understand what happened and have spoken to the driver about it.

Before fully processing the missing mileage incident, it's recommended to leave a reason, which will also be visible in the missing mileage report. If a missing mileage incident was processed by mistake, you can always 'activate' it again.

Missing mileage report

There are several other tabs available in the missing mileage overview, one of which is the 'export' option. By using the export option, you can download and schedule the missing mileage report.

The available selections are:

Download as CSV (Excel)
This option allows you to download the missing mileage report in CSV (Excel) format.

Download as PDF
This option allows you to download the missing mileage report in PDF format.

Mail report
By selecting this option, you can set up and schedule a missing mileage report to be automatically sent to your email.
